About the Role:
We are looking for a senior, high-ownership Internal Operations Lead to run the “engine room” of the organization—ensuring our people ops, finance oversight, internal processes, and operating cadence run smoothly and on time. This role requires strong process and strategic thinking, stakeholder management, and the ability to drive execution with clarity and discipline.




Your mission, should you choose to accept 

(accountabilities)

1. Admin operations (processes, documentation, feedback loop, MIS, project management)

  • Build SOPs and keep them updated on Notion for all recurring processes across departments (onboarding, probation, extensions, exits, vendor onboarding, payments, program delivery workflows).
  • Maintain a single “source of truth” documentation system in Google Drive and Notion by coordinating (support and nudge) with each department: folder structure, naming conventions, access control, versioning, and decision logs.
  • Run the monthly team feedback loop (internal NPS and mutual feedback session): schedule, ensure attendance, capture inputs, and publish 3–5 prioritized actions with the team.
  • Own probation review operations for all team members: reminder calendar, feedback collection, consolidation note, review meeting coordination, and confirmation or extension documentation.
  • Own the company scorecard: Review if each department is timely updating it, see what was delivered, what is delayed, key blockers, risks, and next steps by owner.
  • Own the contracts database in Airtable: upload every signed contract within 48 hours, track expiry and renewal dates, and follow up until closure.
  • Manage internal ops SaaS tools (Notion, Freshteam, Test Gorilla, Airtable, Typeform, Google Workspace): renewals, access control, license hygiene. Run a monthly “tool audit” with department owners to shut down unused subscriptions.
    External project management support for agencies (new revenue stream): Design the offering as a packaged service: scope options, pricing model, deliverables, engagement SLA, and a standard onboarding checklist.

2. Finance ops (partners, accounts and compliance oversight, timeliness, MIS review, funds, treasury)

  • Select and manage finance and compliance partners (CA, accounting, compliance): define scope, deliverables, timelines, and review performance monthly.
  • Maintain a finance calendar with hard deadlines: payroll input date, payout date, monthly close, statutory filings, vendor payment runs, and critical renewals.
  • Ensure on-time execution of finance operations (with support of existing program manager): payroll, vendor payments, statutory submissions, and renewals. Escalate risks before deadlines.
  • Review monthly finance MIS published by accounting partner:Review correctness and flag any missing data - Review cash balance, inflows and outflows, payables, receivables, runway, and upcoming commitments.
  • Manage Treasury - Maintain a 30–45 day treasury tracker: Suggest potential investment plans, committed inflows, expected inflows, fixed costs, planned spends, payment due dates, and funding gaps.
  • Flag shortfalls early with a clear note: gap amount, date it hits, impact, and 2–3 options to solve it.

3. HR (hiring, feedback, cohesion)

  • Run hiring operations: JD finalization, interview scheduling, candidate tracker, feedback capture, decision closure, and offer rollout.
  • Own onboarding operations: send offer and onboarding letters via e-sign, collect documents, coordinate payroll setup, and ensure tool access is ready before Day 1.
  • Coordinate offboarding operations with the HR business partner: exit checklist, handover completion, access removal, asset return, and documentation closure.

4. Strategy (quarterly meets, planning circles)

  • Run quarterly strategic meets end-to-end: agenda, pre-reads, facilitation support, minutes, decision log, action tracker with owners and deadlines.
  • Run monthly planning circles in the first week of every month: last month review, next month priorities, owners, timelines, and success metrics.

What you need to bring to the table

(skills, character traits)

  • Bachelor’s degree in HR, Business Administration, or related field (MBA preferred).
  • 3–5 years of experience in core operations
  • Strong understanding of HR processes, labor laws, and HR best practices.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to manage multiple stakeholders and work in a fast-paced environment.
  • Proficiency with HRMS tools and MS Office.
